USER MANUAL OF COIS
Coaching Stock Module is the second vital phase of
Integrated Coaching Management System. There has been substantial growth of
passenger traffic on Indian Railways in the last few years and in the number of
coaches for the different types like vacuum & air brake, Ac 1st class,
2-tier, 3-tier, chair car, and Non-A/C, Sleeper Coaches, Day Coaches, Pantry
Cars and Brake Vans etc. The number has increased considerably and to handle
their usage for run on regular trains and for bookings for reserved carriages
for Marriage Parties, Pilgrim Special Trains and other Government jobs manually
has become very cumbersome. The need has
come to computerize the complete coaching operations information system to have
the entire data of each coach on Indian railways readily available on computer
for its optimum use and traffic management at all levels.

Major Modules of the Coaching Stock
Management.

The first sub module is
the REPORTING MODULE. This module captures the input for various events related
to coaches namely: attachment/detachment, sick marking, sick line placement,
withdrawal, booking for shop etc.

The second sub-module
is DATABASE MANAGEMENT MODULE. This module provide s various options to
maintain the database like User definition, terminal definition, addition of
new coaches and condemnation of old coaches, trains data etc.
v
The third sub-module
consists of MIS REPORTS MODULE. This module will provide various options for
output reports seen at Yard/Station/Divisional/Zonal/Railway Board level. This
will be analogous to various registers being maintained at present in the
manual system. It will provide facilities to manager for generating various
types of reports. The access to reports will be restricted by the user’s
privileges.

YARD POSITION MODULE: This module shows all coaches presents on different line and Plateform in a yard. The different lines are Sickline , Stablingline , Spareline, Washingline, Sidings as shown in the given page.



Any line having coaches can give you the details of coaches by clicking on View Details.

RAKE
FORMATION MODULE: This
module helps user in reporting the information of scratch rakes formed. Rakes
may be formed for Regular Train as well as for the special train (like pilot,
departmental). This has been developed to give the information that how the
trains are formed afresh, i.e. either form a scratch Rake by giving Coach
Numbers or use one of the available Rakes to run a train. This is different from
picking up the link rake as once the link rake has arrived then operator can use
Verify Consist option to run the link train.
For
Regular Trains,
the operator is required to select the Train No, and Scheduled Departure Date
for which the rake is to be formed. Form RF.1 On
selecting the train no, scheduled departure date, scheduled departure time,

form displays the coaches as in standard marshalling order (from Rake Link Data)
with blank coaches Form
RF.2 .By default the owning Railway of coach is
displayed as the owning Railway of Rake. The operator can then attach the
coaches by clicking on Coach No field. The operator, as he clicks on the coach
number field, is displayed a list of coaches, which are of given type and given
owning Railway and are currently located in his yard. The operator can change
Railway/Type to attach coaches. Coaches can be added by clicking on ‘+’ sign
and can be deleted by ‘X’ sign.To add a coach in the end last ‘+’ sign
is to be clicked.
By
clicking the Update button
the information related to Rake Formation is saved in the database. And this
Rake may be used for further operations.
For
Special Trains,
In
case of Special Trains Form RF.3 is displayed. Form
RF.3.
In
case of Special Trains the operator is required to enter the train number also
along with the train name, remarks for running the train and Scheduled Departure
date and time (this may be approximate date and time), Originating Station,
Terminating Station and Day Count (day count is the no of days to reach the
destination, this can be approximate day count), and Rake Formation Date and
Time. When the operator clicks the ‘GO’ button the next form of Rake
Formation opens. Since in the case of special trains, System is not having any
information, Form RF.4
is displayed. In this form the operator can enter the coaches which will be
attached to the train. Once the operator enters owning railway and coach type
then on clicking the coach number field ,a list of coaches, which are of given
type and given owning Railway and are currently located in his yard are
displayed. The operator can select by clicking on coach to attach in the train.
Coaches may be added or deleted by ‘+’ or ‘X’ buttons.
By
clicking the Update button
the information related to Rake Formation is saved in the database. And this
Rake may be used for further operations.

or rake. Firstly
we select the line number from the Line Number String list from
then the fields End, Line Capacity and Total Coaches will also change. In
case of special trains following page is displayed. VERIFY CONSIST MODULE: This
module is used to verify the consist of a given train number and start date. If
a rake has been formed for the given Train Number and scheduled
Departure date then this module displays the formed Rake. If no rake has been
formed and link Rake has arrived then the Link rake is displayed (e.g. 2001
BPL-NDLS shatabdi has to run from BPL then the Link Rake 2002 from NDLS-BPL is
the link rake and will be displayed). The operator selects the
option to Verify Consist. Form VC.1 will be
displayed. The operator selects the train number and gives the scheduled
departure date.
On selecting the train no, scheduled departure date, scheduled departure time,
source of the train and destination is displayed automatically. Scheduled
departure date can be either future date (System allows 3 days in future and 3
days in past to allow back dated entries) or 3 days back date. On clicking the GO
button , the system will find If a rake has been formed for
the selected train then system displays the formed rake. If no formed rake is
available then link rake is searched , if found then link rake is
displayed. Else the message is given
that Message :
Link not available. Form

By selecting the type of coach in the Coach Type Field it tells about its
owning railway, coach number, coach status and
coach location
In this module a Rake or a Coach can be moved from one yard to
another yard. From the following page you have to select the yard from
where you want to move a Rake or a Coach. After selecting the yard, the following page will be displayed. Select the
Rake, Coach or Coaches for movement from yard to yard on this page. And then
select the yard where you want to move.Then click on Conform button to submit
the form The following page will be displayed then you select the Line
Type, Line No., Movement Date and Time. After Conforming the selected Rake will move to the selected
Yard. The same procedure will be followed for Coach or Coaches
Movement. This module has been
developed for placement of rakes/coaches in the washing line after their
arrival in the yard. In washing line the rakes/coaches are placed for
examination and released after examination. This module captures the date and
time of placement and release. These
lines are meant for examination & maintenance of the coaches/rakes. Actor selects the option for Rake or Spare Coaches for placement.
System displays the Form
RE.1 In case of Rake, the system retrieves and displays the list of
Rakes waiting for placement for examination on Washing Line and Rakes waiting
for release after examination. In case of Spare Coaches, system displays the
list of spare coaches available at the location and coaches waiting for release
after examination. By selecting Rake/Coach from the ‘type list’ the
page –1 /page-2will display .For examination user has to 1.mark check on the ‘washing
line examination start’ field, 2. fill in date of washline
examination start date & time 3. Press ‘Update’ to enter. After examination if the operation required is
release then following steps need to be completed 1.he has to mark check on
the ‘washing line examination end’ field, 2.fill in the
date and time field for the operation. The releasing date and time must be
greater than the examination date and time.Any entry for wrong date and time
will alert and date and time need to be re-entered. 3.To update
the changes user has to click on the ‘Update’ button. Note: The module
starts with this page only. On selection of Coach the form would orient itself

Updation just click on the (UPDATE) button. TRAIN DEPARTURE
REPORTING: This option allows the operator to report departure of a train at
the reporting location. Whenever a train’s departure is reported, it involves
capturing information about actual date/time and train
consist. This comes under platform activity. The operator selects the
option ‘Departure Reporting’ to enter outward information of an
originating train at the reporting location. System displays the Form DR.1. The system retrieves and displays the list of trains,
which originates at the reporting location and the special trains (departmental
trains) for which Rake is ready. Backward reporting cannot be done for
more than last three days. The operator selects a train number for reporting.
The system displays the list of last three dates and current date (taking in
the view the days of run of the selected train) on which train was scheduled to
depart. The operator selects the date (scheduled departure date) and then
clicks the GO button. Departure can be reported only for the
Examined Rakes except in the case where train can return back from platform
itself. If the operator selects an unexamined Rake then the following message
is thrown Error: Current Station is Primary Maintainence
Station of train no. TESTU - Outward possible only after Rake Examination. Once train number and start date is selected, system
retrieves the examined rake, if not found then following message is thrown Error: Neither scratch rake nor link rake is
available. Form a scratch rake for 2002 on 11/03/2006 If a rake is found then form DR.2 is displayed with Coach Details. Coach
may be added here. To remove a coach Detachment option is to be used.Before
reporting departure, if the Rake has not been moved to the platform, then error
message is thrown as Error :
Rake currently not at platform. Move the rake to platform to report dispatch. Note:
Later with integration of Mechanical Maintenance Module will force the
reporting of necessary certificates issuance (Brake Power Certificate and
Vehicle Guidance) for the rake. If not issued then error message will be
thrown. The
operator enters actual departure date and time and clicks on ‘Confirm
Departure’ button. System saves the information and the outward is

is to add the new coach. ________ _____ Editable NOTE: By clicking the Confirm
Outward button you can update the information related to a coach or
rake. ENROUTE ATTACH/DETACH MODULE has been developed for the
coaches, which are attached/detached from the train on
the way before reaching the final destination. The operator invokes it by
selecting the option of Enroute Attachment/Detachment
from the main menu. This option is used for both planned as well as unplanned detachments.
Sectional coaches (planned attachment/detachment) are attached and detached
thru this option. On invoking this option
Form
EAD.1 is displays all the Rakes for
which the reporting station is enroute station. This allows
detachment to be reported only after actual departure is reported at the
originating station. According to the requirement, user can attach/detach any
coach from the train by simply clicking on the (+) & (X) button For attaching a coach (+) button given a user can attach any
coach in any location and make an entry for coach. To detach a coach, click on
the select field against the coach. Once selected, reason and date/time of
detachment is to be given. When user wants to attach/detach a coach from the
rake then he has to select a reason from the drop-down ‘Reason for
attach/detach’ that shows the reason (such as coach being sick, coach
for shop etc) for which the coach is being detached. By clicking on the ’Confirm
Attachment/Detachment’ button a new
window open which will display a ‘coach
Attachement/detachment completed successfully’ message will be displayed.
If it is a planned attachment / detachment then the
coaches are displayed with different colour scheme. *All
coach with Blue colour
is to be attached at enroute station *All
coach number with Pink colour is to be
already attached at enroute station *All

doing attachment if we want to delete a coach which is added by user
then we click on to the (X)

Arrival Reporting Module: The main
objective of this option is to report termination of a train at the Reporting
Station. This case contains information about train, actual arrival date/ time and
train consist. This module can be used in two modes The
operator clicks ‘Arrival Reporting’ option from
list of action to enter arrival information of a terminating train at the
reporting location. Form
AR.1 is
displayed. The
system retrieves and displays the list of trains, which terminate at the
reporting location. The Operator can do backdated reporting
for last three days. The system displays the list of last three
dates and current date (taking in the view the days of run of the selected
train) on which train was scheduled to arrive. The Actor selects the train and date
(scheduled arrival date) and clicks ‘Go’ button.
Form AR.2 is displayed If for the selected train Departure from
the source station has not been reported, then the operator can input the
information by giving the coach numbers as received. If for the selected train Departure from
the source station has been reported the System displays the
consist of the dispatched train. If the operator finds a coach number
which is being displayed by the system and is not physically available then the
coach can be marked as disputed coach. The Operator enters actual arrival
date/time. The Operator clicks ‘Confirm’ button
and System saves information. The message

DISPUTE RESOLVE MODULE has been developed to solve
the dispute, which occur under two conditions. 1: When the yard does not have any information about
the arrived coach then he mark dispute on that coach. For example-> the
total number of coaches arrived are 15 out of which yard has information about
14 coaches and it doesn’t have any information about the remaining coach. So
yard must mark dispute on that particular coach. 2.When the yard contains all information about the
coaches but the specified coach is not attached to the arrived train. For
example-> the total number of coaches arrived are 14 out of 15 coaches. The yard has information about all the
coaches i.e. 15 but only 14coaches reached there. The yard mark dispute on the
remaining coach, which was unable to reach. To solve this dispute the status of the coach is

some repair required or Coach is damaged and it cannot be put in to train
service. This comes under Yard activity. This module captures sick
marking reasons and sick marking date and time. In sick marking module the
coaches from rakes/ individual coaches are marked sick for further sick line
operations. The operator selects the option from main menu to mark a coach as
Sick. The system will open a form SM.1 for sick marking, showing the options for selecting
the coach status as attached to some train/rake, or as a spare coach or already sick marked
coaches. (A coach may be marked multiple times as sick for different reasons).
1.
In
case of coach is attached to any Rake then the system retrieves and displays
the list of Rakes/Trains in Yard/at Platform.
2.
The
operator selects the Rake/Train to which the coach is attached
3.
Once
selected, the system displays Rake/Train consist form SM.2
4.
The
operator can select coach (es) for sick marking and give reasons for marking
the coach as sick and sick marking date and time.
5.
In
case of spare coach form SM.3 will be displayed.

The
operator confirms the sick marking by clicking on

system saves the information.
8.
The
system generates a report to be sent to Yard Master and takes actor’s Confirmation for sending it to the Yard
Master. By selecting Rake/Coach from the ‘type list’ the
page –1 /page-2will display. The drop down ‘Department ‘list shows all the defects upon which
the coach is marked sick and the user has to select the defect(s) from the
list. For marking a particular coach sick Coach type, Owing railways and Coach number
from the drop down is required to be selected.From the ‘Sick Type’
field, user can mark one or multiple selection of the defect from the dropdown list. The
marking date and time field for accepting date and time of marking.By clicking
on the ‘Confirm’ button the changes reflected to the Sickline operation
module.
